Transactional vs marketing email

Transactional email is sent because of something a specific person did or something that happened to their account, and they expect it. Marketing email is sent to promote, announce or nurture, usually to many people at once.

Why keep them apart

  1. Reputation. Marketing mail gets more complaints and unsubscribes than a password reset ever will. If both share one sending identity, a bad campaign can slow the emails users are waiting for.
  2. Timing. A bulk campaign should never queue ahead of a login code.
  3. Compliance. Promotional content may bring consent and unsubscribe obligations that pure account mail does not.
  4. Debugging. When someone says "I never got my reset", you want a log of transactional sends that is not buried in campaign data.

A common practice is a separate subdomain for each, such as mail.yourdomain.com for campaigns and notify.yourdomain.com for application mail, each with its own SPF and DKIM.

The grey area

Welcome emails, abandoned-cart reminders and review requests sit between the two. A welcome email that confirms the account is generally transactional. An abandoned-cart nudge with a discount is marketing. If you would be uncomfortable explaining to a regulator why it needed no opt-in, treat it as marketing.

Frequently asked questions

Is a receipt with a discount code transactional?
It is a mixed message. Regulators generally look at the primary purpose, and adding promotion can make it commercial. When in doubt, keep the promotion out of it, or send it separately.
Do transactional emails need an unsubscribe link?
Marketing email needs one. Pure transactional messages like password resets generally do not, and offering unsubscribe on them would make no sense. Check the rules in the countries you send to, and treat this page as general information, not legal advice.
