Email campaign management: from draft to sent

Updated

A campaign is one email sent to a chosen audience at a chosen time. Inboxili keeps each campaign as a record you can duplicate, pause, archive and audit.

The lifecycle

| Status | Meaning | |---|---| | Draft | Being written. Nothing has been sent. | | Scheduled | Waiting for its send time. | | Sending | In progress. Can be paused or cancelled. | | Paused | Held. Can resume. | | Sent | Finished. Results are available. | | Cancelled | Stopped before completion. | | Archived | Hidden from the main list. Reports stay. |

Building a campaign

  1. Name it and set the sender. The from address must be a verified sender.
  2. Write the subject. Merge tags such as the contact's first name work in the subject and the body. The AI assistant can suggest subject lines and preview text.
  3. Design the email in the block editor, or start from a template.
  4. Choose the audience. Pick lists, segments, or both. See contact management.
  5. Send a test to your own address and run the spam-risk check.
  6. Schedule or send now.

Who is skipped

Before sending, Inboxili resolves the audience and removes duplicates. Contacts who are unsubscribed, bounced or marked as complained are excluded. The same applies to anyone on the suppression list, so a suppressed address never receives a campaign.

Unsubscribe links are added for you

Every campaign and automation email gets a footer with your business name, your postal address (when set in your workspace settings) and an Unsubscribe link. The email also carries List-Unsubscribe and one-click headers, so Gmail, Outlook and other providers can show their own unsubscribe button. The link is unique to each recipient and opens a page that asks for confirmation, so mail scanners that open links cannot unsubscribe anyone by accident. An unsubscribed contact is suppressed straight away. Laws on marketing email vary by country, so this is a tool for compliance, not a guarantee of it.

A/B test your subject line

Add a second subject line in the campaign settings and Inboxili sends subject A to a random half of your audience and subject B to the other half. The split is fixed per recipient, and the campaign analytics show sent, open and click figures for each. With small audiences the difference is noisy, and open tracking is imperfect, so treat clicks as the firmer signal and test again before changing your approach. Only the subject line is tested.

After sending

Each campaign has a recipient log with a status per person (pending, sent or failed). Open and click tracking, bounce and complaint rates, link-level clicks and device breakdown are in analytics. Hard bounces and complaints are suppressed automatically.

Good practice

  • Send tests to more than one mailbox provider.
  • Keep the subject honest about what is inside.
  • Send to engaged segments before sending to everyone.
  • Set your business name and postal address in your workspace settings. They appear in the footer of every campaign.
  • Watch bounce and complaint rates after each send. A sudden rise is a signal to stop and check your list.

Campaigns or the API?

Campaigns are for messages you decide to send to a group. Emails your application sends because a user did something (a password reset, a receipt) belong in the transactional email API, which sends one email per event and logs it separately.

Frequently asked questions

Can I send to more than one list?
Yes. A campaign can target several lists and segments. Contacts who appear in more than one are deduplicated, and unsubscribed, bounced or complained contacts are excluded.
Can I stop a campaign that is sending?
Campaigns can be paused or cancelled from the dashboard. Emails already sent cannot be recalled.
Can I send a test first?
Yes. Send a test of any campaign to one or more addresses before sending to your audience.
